Privacy Policy

Field Parent (“we”, “us”, or “our”) is a family scheduling app that helps parents and co-parents keep every child’s school, sports, and activity schedule in one shared calendar. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using Field Parent, you agree to the practices described here.

1. Information We Collect

Account information. When you sign up, we collect your email address and a password (stored as a salted hash). If you sign in with Google, Google shares the name and email associated with your Google account.

Family information you enter. You may add child profiles (name, grade, school, birthday, photo, notes), activities and events, custody schedules and exceptions, swap requests, shared expenses, shared lists, and an “Info Bank” of medical, allergy, insurance, and emergency-contact details for your children. You control what you add, and you can edit or delete it at any time.

Documents and photos. If you choose, you can upload documents (such as insurance cards) or attach photos (such as a screenshot of a team schedule) to help import activities. These files are stored securely and are only accessible to you and the co-parents you invite.

Location. If you use drive-time estimates or traveling-parent mode, we use the home address you save and the address of an activity to estimate travel time through a third-party routing service. We do not continuously track your device’s location.

Email content (optional Gmail schedule scan). If you connect Gmail and turn on the daily schedule scan, Field Parent looks at recent emails from senders you choose (for example, a child’s school or sports team) and uses an AI/machine-learning service to identify schedule-related details, such as practice times or field trips, that it can suggest adding to your calendar. Nothing is added automatically — you review and approve each suggestion, and this feature stays off unless you turn it on and can be disabled at any time.

Calendar sharing links. If you create a family calendar sharing link (for example, to share your children’s activities with a grandparent or other family member), anyone with that link can view a read-only calendar feed of the activities and custody dates you choose to include, without needing a Field Parent account. You can turn off or regenerate this link at any time, which immediately invalidates the old one.

Usage and device information. We automatically collect limited technical information such as device type, browser, and approximate usage patterns to keep the service running and improve it.

2. Device Permissions

Field Parent runs as a mobile web app and only requests the following device permissions when you use a feature that needs them:

• Notifications — to send you activity reminders and alerts (optional).
• Photos / camera — to attach a screenshot when importing a schedule (optional).
• Location — only for drive-time estimates when you choose to use them (optional).
• Calendar and email — only when you connect your Google Calendar or Gmail account, and only with your permission. If you turn on the optional daily Gmail schedule scan, we read recent emails from senders you specify to suggest schedule items. If you connect Google Calendar, Field Parent can also add or update events there so it stays in sync with what you create in the app.

You can decline any of these permissions, and you can revoke them at any time in your device or browser settings.

3. How We Use Your Information

• To provide the scheduling, calendar, custody, expense, and Info Bank features.
• To send a weekly activity digest and the reminders you enable.
• To sync activities with the Google Calendar accounts you connect, including creating or updating events there.
• To scan Gmail for schedule-related emails and suggest calendar items, using an AI/machine-learning service to read the email text — only if you connect Gmail and turn this feature on.
• To generate a family calendar sharing link, if you choose to create one, so the people you share it with can view the activities and custody dates you include.
• To process subscription payments and manage your plan.
• To provide support, fix issues, and improve the app.

4. How We Share Your Information

Co-parents you invite. When you invite a co-parent, they can view and help manage the children, schedules, custody, expenses, and lists you share. You can disconnect a co-parent at any time, which removes their access going forward.

Service providers. We use trusted third-party services to operate Field Parent:

• Google — for optional Google Calendar and Gmail integrations. When you connect, Google shares your calendar events and/or emails with Field Parent only as needed; Field Parent can also create or update events in a Google Calendar you connect. You can disconnect at any time.
• Stripe — to process subscription payments. Stripe receives your payment details directly; we do not store your full card number.
• Routing / mapping services — to estimate drive times using the addresses you provide.
• AI / machine-learning service providers — to read schedule-related text (from photos, pasted text, or, only if you opt in, Gmail messages) and turn it into suggested calendar events. These providers process the text or emails you submit solely to extract schedule details for you and do not use it for their own purposes.
• Our app-development platform — hosts Field Parent and the data described in this policy, and provides the AI/machine-learning processing described above.

People you share a calendar link with. If you create a family calendar sharing link, anyone who has that link (for example, a grandparent) can view the activities and custody dates you choose to include, without signing in to Field Parent. Only share this link with people you trust, and you can revoke it at any time by regenerating it.

We never sell your personal or family information.

5. Data Security

We protect your information using industry-standard measures, including encrypted connections, access controls, and row-level permissions so each family can only access its own data. No method of transmission or storage is completely secure, but we work hard to safeguard your family’s information.

6. Data Retention and Deletion

We keep your information for as long as your account is active. You can edit or delete any record at any time. To permanently delete your account and the personal information we hold, use the “Delete account” option in the app’s settings. Some data may be retained briefly in backups or as required by law.

7. Children’s Privacy

Field Parent is designed for parents and caregivers. Children’s information (profiles, activities, medical details) is entered and managed by their parents or guardians. We do not knowingly collect personal information directly from children, and we do not use it for advertising.

8. Your Rights and Choices

You can review, update, or delete the information in your account at any time. You can disconnect Google or Gmail integrations, revoke device permissions, cancel your subscription, or delete your account. If you have a question about your data, contact us at contact@fieldparent.com.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the app or by email and update the “Last updated” date above.
